POSITION SUMMARY :  

The Receptionist is responsible for answering incoming phone calls, scheduling and checking in patients, and providing excellent customer service.

REPORTS TO :

The Receptionist reports to the Front Office Manager.

SPECIFIC DUTIES AND RESPONSIBILITIES :

•  Greets patients in polite, prompt, helpful manner.    Provides any necessary instructions/directions.   Informs appropriate department/person of patient's arrival.

•  Updates patient information, collects co-pays, provides any necessary forms needing completion, copies insurance information, and obtains signatures as necessary.   Registers new patients.   Creates/repairs medical charts as needed.

•  Answers phones promptly and in pleasant manner and deals with customer needs expeditiously.   Takes accurate messages verifying caller names and telephone numbers, and distributes them to the appropriate staff member in a timely manner.

•  Efficiently and courteously schedules patient appointments in accordance with provider scheduling preferences and requirements.

•  Prints daily schedule and distributes appropriately.   Provides updated schedule as necessary.

•  Stocks and maintains Front Office forms and supplies as required.

•  Files charts, reports, correspondence, etc. as needed.•  Prints fee tickets for following business day and attaches to charts.   Adds/deletes fee tickets when appropriate and according to provider schedule changes.

•  Maintains clean, orderly waiting area.

•  Turns on/off answering service as required.   Checks voice messages and returns calls or forwards messages to staff members as appropriate and in a timely manner.

•  Knowledge of CPT codes.

•  Performs other duties as assigned.

EDUCATION/ EXPERIENCE REQUIREMENTS :

High school diploma or GED.

Minimum of one year experience in customer service; preferably six months receptionist experience in a healthcare setting.   Experience with office equipment; 35 wpm typing skill preferred.

ESSENTIAL FUNCTIONS :

He/she must demonstrate skill in using office equipment satisfactorily and handling paperwork/filing adequately; must be proficient at multitasking and following instruction.   He/she must have excellent personal and phone communication skills and demonstrate strong customer-service skills; must be able to read, write and communicate clearly in English.

He/she must be able to respond appropriately to instructions and demonstrate professionalism at all times; must recognize, understand, and observe patient confidentiality in strict accordance with HIPAA.   He/she must maintain a high degree of integrity, loyalty, and honesty and not divulge to outside parties any information of a confidential nature pertaining to clinic operations.   He/she must be able and willing to learn and perform other skills and tasks as requested or required.   He/she must apply written instructions and standardized work practices and organize and prioritize tasks sufficiently.   He/she must establish and maintain effective relationships with staff, patients, and families; must demonstrate the ability to successfully cope with stress related to work load and/or working with tense patients.   He/she must be a self-starter and able to work without direct supervision; must be punctual and maintain a professional appearance.  

He/she may be exposed to communicable diseases; must be able to walk to various settings and to bend and reach.   He/she must be able to sit for 7-8 hours/day and view computer screens for long periods.
